Overview

Imperial Dade, a leading North American distributor, has a Human Resources Administrator role available in Jersey City, NJ! Our HR Department has an exciting opportunity for an HR Administrator who is interested in being a part of a dynamic environment, wants to grow and development as an HR professional.  Reporting to the Regional HR Manager, the Human Resources Administrator will be responsible for day-to-day HR administration, maintain HR records and employee files, while assisting in various HR projects, as needed.

 

The schedule for this position is Monday - Friday, 8:00 am - 5:00 pm.

Pay rate: $30.00/hour.

Responsibilities

You will:

  • Oversee the timely review and editing of employee timecards on a weekly and biweekly basis to ensure accuracy and improve payroll efficiency.
  • Oversee the attendance point system by recording attendance violations and preparing disciplinary action forms weekly for union and non-union employees.
  • Assist in the creation of onboarding packets and facilitate orientation for new employees
  • Assist with updating union vacation requests in Excel
  • Manage key clerical, data entry, and administrative tasks effectively by responding to phone calls, emails, and in-person inquiries. Handle document preparation for scanning, copying, and ensure timely uploads to the shared drive or distribution to the operations team.
  • Maintains accurate and up-to-date employee files, records, and documentation, including employee personnel files, driver qualification files, termination forms, employee processing forms, and coaching notices.
  • Conducts regular audits of HR files and records to ensure that all necessary documents are gathered and organized efficiently.
  • Assist departmental managers and employees with routine inquiries and day-to-day questions; refer more complex issues to senior-level HR staff or management.
  • Liaise with departments like payroll, benefits, and talent acquisition to improve workflow efficiency and ensure a smooth process.
  • Assists in the effective planning and execution of special events, including activities that celebrate and recognize employee achievements..
  • Support project-based work
  • Perform other duties as assigned.

Qualifications

You have:

  • Bilingual (Spanish/English) required
  • 2+ years of human resources experience required.
  • 2+ years of experience with MS Office, including solid knowledge of Excel.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.
  • Excellent organizational skills, attention to detail, and verbal/written communication skills.
  • Warehouse/union experience preferred
  • Experience in ADP Workforce Now and ADP eTIME preferred
  • Knowledge of state and federal laws for reporting
